Consent and Data Management

Your choices, clearly explained.

What each consent in Maatla Care means, how to change your mind, who can see your records, and how to use your rights over your information.

3.Granting and withdrawing consent

You can review every consent in the privacy section of your account, at Privacy settings. Each one can be switched on or off individually.

  • On WhatsApp, send STOP to stop WhatsApp messages.
  • During an automated callback, say stop to stop callbacks to your number.
  • During a consultation, tell your clinician if you do not want the AI scribe used.
  • In any marketing message, use the unsubscribe option.

Withdrawing consent stops future processing for that purpose. It does not undo processing that already took place lawfully. For a child or dependant, the parent, guardian or authorised person who manages their care makes these choices on their behalf.

4.Record sharing between practices

A practice can only see records for patients who have a care relationship with it. Another practice cannot see your records unless you share them, or the law requires disclosure in a specific situation.

  • You choose the practice or clinician, what to share and, if you like, an end date.
  • You can revoke a share at any time, and access ends from that moment.
  • Information a practice has already used in your care becomes part of its own records, which it keeps under its legal obligations.
  • Single documents can be shared through secure links that expire after a set time and a small number of views.
  • Referral letters go to the receiving practice as part of your care, and you can ask your doctor what they include.

How to share your records

5.Access logs you can see

Every view of your health record is logged, and you can see that history in your account.

Each entry shows:

  • who accessed your record, and their role;
  • which practice they were acting for;
  • when it happened;
  • what kind of information was viewed or changed.

If you see access you do not expect, contact the practice concerned, or email our privacy team at privacy@maatlahealthcare.com. We will help you find out what happened.

6.Data requests

Under POPIA you can make these requests. Make them in your privacy settings or by email to our Information Officer.

  • Access

    Ask whether we hold information about you and receive a copy.

  • Correction

    Ask for inaccurate, incomplete or out-of-date information to be corrected.

  • Deletion

    Ask for information to be deleted where we are no longer allowed or required to keep it.

  • Objection

    Object to processing on reasonable grounds, and to direct marketing at any time.

30 days

Our target for responding to a request. We may ask you to confirm your identity first. If we need longer, we tell you why and when to expect an answer. You can follow the status of a request in your account.

Requests about clinical records are handled with the practice responsible for them. If you are not satisfied with the outcome, you can complain to the Information Regulator of South Africa.

7.What cannot be deleted

Some information must be kept even if you ask us to delete it or close your account:

  • Clinical records that a practice is legally required to retain, for the periods set by HPCSA guidance. These are the practice’s records, and corrections are added alongside the original rather than replacing it.
  • Financial records, such as invoices and payments, for the period required by tax and financial laws.
  • Consent records that show what you agreed to or withdrew, and when.
  • Security and audit logs needed to protect the platform, investigate incidents and meet legal obligations.
  • Information needed for a legal claim, for as long as that need lasts.

Where we cannot delete something, we restrict its use to the purpose it must be kept for, and delete or anonymise it when that period ends. We will always explain what we kept and why.
