The workflow

Eleven steps. The decisions are yours.

The scribe does the typing. The decisions that matter, consent at the start and approval at the end, are always made by a clinician.

Before

Nothing is captured until consent is confirmed.

  1. 01

    Start the consultation

Open the patient's appointment and start a consultation from the workspace.

  2. 02

    Confirm consent

You confirm the patient agreed to the consultation being transcribed. The confirmation is logged with the time.

During

You talk to your patient. The scribe listens.

  1. 03

    Capture audio

The conversation is captured securely while you consult, so you can keep your eyes on the patient.

  2. 04

    Transcribe

Speech becomes text. Once transcribed, the audio itself is deleted.

Draft

When you end the consultation, never before.

  1. 05

    Identify clinical information

Symptoms, findings, medication and plans are picked out of the transcript.

  2. 06

    Structure a draft SOAP note

Subjective, objective, assessment and plan, each line carrying the words that support it.

  3. 07

    Make every part editable

The draft is a starting point. Every line can be changed, added or deleted.

  4. 08

    Highlight uncertainty

Lines that cannot be traced to the transcript are flagged, and missing information is listed.

Sign-off

The record only changes when you say so.

  1. 09

    You correct every field

Resolve each flag by confirming or removing it, and edit anything that is not right.

  2. 10

    Your approval is required

You confirm you have reviewed the note. Approval cannot be skipped or automated.

  3. 11

    Saved to the record

The approved note joins the patient's record, with its version history kept.

Dark steps are taken by the clinician. Nothing moves past them without you.

Boundaries

What the scribe will never do.

A scribe writes down what happened. It does not practise medicine. These limits are built into how it works, not left to a setting.

  • Record without consent that you have confirmed
  • Suggest a diagnosis
  • Recommend treatment, medication or doses
  • Hide something it could not verify
  • Approve a note, or save one to the record, on its own
  • Show a draft to the patient

Features that would suggest diagnoses or treatments are disabled across Maatla Care, pending clinical validation and a SAHPRA assessment. Read more about our approach on the AI Safety page.

Data handling

The audio goes. The approved note stays.

Consultations are some of the most private conversations people have. We keep as little as possible, for as short a time as possible.

Audio is not kept
Audio is used only to produce the transcript, and is not retained after transcription.
Encrypted throughout
Transcripts and notes are encrypted in transit and at rest.
Transcripts are cleared
By default, transcript text is cleared 30 days after the note is approved or discarded. The approved note is the record.
Records are kept properly
Approved notes become part of the clinical record, and are never deleted automatically.
Access is logged
Only clinical staff with access to the patient can open notes, and every view is recorded.
Every version kept
Changing an approved note creates an amendment that needs your approval again. Earlier versions are kept.

Designed around POPIA principles. See our Privacy Policy for the full detail.

Supported documents

More than the note.

Once the consultation note is approved, the same consultation can become the letter, the certificate or the instructions the patient takes home. Each one is a draft until you approve it, and each one can be exported as a PDF.
