Inviting staff and choosing roles
Add your team and give each person only the access their work needs.
Roles at a glance
Choose the role that matches each person's work. A person can hold more than one role if they need to.
- Owner: runs the practice account, manages staff and settings, and is the only role that can change the subscription.
- Manager: manages staff, services, branches, finances, reports and communications, without access to clinical notes.
- Doctor: sees and writes clinical records, approves notes, issues prescriptions and manages referrals and lab requests.
- Nurse: sees clinical records, records vital signs and manages lab requests. Nurses cannot approve notes or prescribe.
- Receptionist: manages appointments, the queue, patient contact details, payments received and the communications inbox.
- Billing: manages invoices, payments, refunds and medical aid claims.
Inviting someone
- Open Staff in the practice workspace and choose to invite a team member.
- Enter their name and email address and choose their role.
- They receive an invitation to create or connect their account and join your practice.
- Clinicians are verified before patients can book with them.
Security for privileged roles
Owners, managers, doctors, nurses and billing staff have access to sensitive information. These roles are required to use multi-factor authentication when signing in.
When someone leaves
Remove or suspend their membership on their last day. Their access to your practice ends immediately. Records they created stay in your practice's records, with their authorship preserved.
Note: Give each person their own account. Shared logins make it impossible to know who accessed a record, which patients can see in their access history.
